Ice storm playbook: when the call flood hits, voicemail breaks

A single overnight ice storm can generate 200 calls to a regional HVAC or plumbing shop. Voicemail boxes fill in hours.

The first hard freeze of the season is a known phenomenon and a predictable disaster for shop phones. Burst pipes, frozen heat pumps, dead furnaces. A regional shop can take 200+ calls in 18 hours.

Two things break when that wave hits: the voicemail box fills, and the human triage on the other end falls behind. By Tuesday morning, half the messages are stale and the customer has called somebody else.

The mitigation is layered: AI intake for everyone, immediate text confirmation for triaged emergencies, and a Monday-morning callback queue for everything that can wait.
